1. APPLICATION OF TERMS

1.1 These Program Terms & Conditions apply to all Snowplanet programs, including but not limited to coaching programs, academies, race programs, freestyle programs, holiday programs, and development programs (“Programs”).

1.2 These Program Terms & Conditions apply in addition to Snowplanet’s General Terms & Conditions. Where there is any inconsistency, these Program Terms & Conditions apply to the extent of that inconsistency for the relevant Program.

2. ENROLLMENT & ELIGIBILITY

2.1 Enrolment in a Program is subject to meeting the minimum age, ability, and skill level requirements for that Program, as published on the relevant program page.

2.2 Snowplanet reserves the right to assess a participant’s suitability for a Program and to change group placement, refuse enrolment, or remove a participant if the participant does not meet the required level or if their behaviour compromises safety or the experience of others.

2.3 Parents and guardians are responsible for ensuring that all information provided at enrolment is accurate and complete, including age, ability level, and any relevant medical considerations.

3. FEES & PAYMENT

3.1 Full payment of all Program fees is required prior to the commencement of the Program, unless otherwise stated in writing.

3.2 Program fees are non-refundable, except as expressly provided in these Program Terms & Conditions or as required by law.

3.3 Where applicable, a Snowplanet RFID card is required to access lifts and facilities. A refundable RFID card deposit applies in accordance with Snowplanet’s General Terms & Conditions.

4. CANCELLATION, REFUNDS & CHANGES

4.1 For the purposes of these Terms, a cancellation means withdrawing from a Program, not missing an individual session.  For the avoidance of doubt, the cancellation and refund terms in this section apply to Program enrolments and operate separately from the refund rules for Passes and Memberships in the General Terms & Conditions.

4.2 The Program start date means the scheduled date of the first session of the enrolled Program.

4.3 Cancellations made more than 24 hours before the Program start date will receive a full refund.

4.4 Cancellations made within 24 hours of the Program start date will incur a $100 cancellation fee, with any remaining balance refunded.

4.5 Where a participant withdraws from a Program after it has commenced, no refund will be given, except where required by law.

4.6 Snowplanet reserves the right to cancel, reschedule, or restructure a Program due to insufficient numbers, weather events, operational requirements, or circumstances beyond its control. Where this occurs, Snowplanet will provide an appropriate credit, alternative option, or refund, at Snowplanet’s discretion.

5. MISSED SESSIONS & MAKE-UPS

5.1 Missed sessions are treated as non-attendance and do not entitle the participant to a refund, credit, or voucher.

5.2 A missed session may be considered for a make-up session only where the absence is due to participant sickness or injury and Snowplanet is notified before the scheduled session start time.

5.3 Snowplanet may require reasonable evidence of sickness or injury and may decline a make-up request where such evidence is not provided when requested.

5.4 Make-up sessions are subject to availability and operational capacity and are limited to a maximum of two (2) make-ups per term, unless expressly stated otherwise for a specific Program.

5.5 Where a Program is progression-based, a make-up session will be provided only where a suitable session exists at the same level and stage of the Program. Where no suitable session is available, the missed session is forfeited and no make-up, credit, or refund will be provided.

5.6 No make-up sessions, refunds, credits, or vouchers will be provided for missed sessions due to holidays, travel, scheduling conflicts, traffic delays, personal commitments, competing activities, or change of mind.

5.7 Make-up sessions must be completed within the same Program term unless Snowplanet agrees otherwise in writing. Unused make-ups expire at the end of the term.

5.8 Snowplanet may, at its reasonable discretion, issue a credit voucher in connection with a Program in circumstances consistent with these Terms & Conditions. Where issued, the credit value is calculated from the discounted Program fee divided by the number of scheduled sessions, with eighty percent (80%) of that per-session value credited for each approved session. Credit vouchers are valid for three (3) months from the date of issue and expire automatically after that date. Credit vouchers may be redeemed for goods or services at Snowplanet but are non-transferable, not redeemable for cash, and may not be extended except at Snowplanet’s reasonable discretion. The issue of a credit voucher is a discretionary goodwill arrangement and does not create any entitlement to a credit, refund, or alternative remedy beyond those expressly stated in these Terms & Conditions.

6. SAFETY & CONDUCT

6.1 Participation in Snowplanet programs involves inherent risks. Participants and guardians acknowledge these risks and accept responsibility for participating within their ability.

6.2 All participants must comply with Snowplanet’s safety rules, staff instructions, and the Snow Safety Code at all times.

6.3 Helmets are compulsory for all skiers and snowboarders participating in Programs in the Snow Dome.

6.4 Only instructors authorised by Snowplanet are permitted to teach lessons in the Snow Dome.

6.5 Snowplanet reserves the right to remove any participant from a Program without refund if their behaviour is unsafe, disruptive, or contrary to these Terms & Conditions.

7. EQUIPMENT & DRESS

7.1 Unless otherwise stated, Program fees do not include rental equipment, clothing, gloves, or helmets.

7.2 Participants are responsible for ensuring they have appropriate equipment and clothing for the duration of the Program.

8. MEDIA & PRIVACY

8.1 Photographs and/or videos may be taken during Program sessions for coaching, safety, and marketing purposes, including use on Snowplanet’s website and social media channels.

8.2 If a participant or guardian does not consent to the use of images for marketing purposes, this must be advised in writing prior to the commencement of the Program.

9. MEDICAL & SPECIAL REQUIREMENTS

9.1 Any medical conditions, injuries, or special requirements that may affect participation must be disclosed at the time of enrolment.

9.2 Snowplanet staff are not authorised to administer medication. Snowplanet does not store or manage personal medications. Participants who require medication must bring and manage their own medication. In an emergency, Snowplanet staff may contact emergency services and provide reasonable assistance until professional medical help arrives.

9.3 Where a participant may require medication during a Program session, the participant or their parent or guardian must ensure that the medication is readily available and that the participant knows how to use it.

9.4 If a participant becomes unwell or is injured during a Program session, Snowplanet may remove the participant from the session for safety reasons. Snowplanet may require appropriate medical clearance before the participant returns.

10. LIABILITY

10.1 Participation in Programs is at the participant’s own risk, subject to rights that cannot be excluded under New Zealand law.

10.2 To the maximum extent permitted by law, Snowplanet is not liable for loss, damage, or injury arising from participation in a Program, except where caused by Snowplanet’s negligence.

10.3 Nothing in these Program Terms & Conditions limits or excludes any rights participants may have under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986.

11. COMMUNICATION

11.1 Program updates, changes, and important information will be communicated via the contact details provided at enrolment. It is the responsibility of the parent/guardian or participant to ensure contact details are kept up to date.

12. AMENDMENTS

12.1 Snowplanet reserves the right to amend these Program Terms & Conditions from time to time. Any material changes will be communicated where reasonably practicable.
